Musicians Code Of Conduct
When performing with Luma Entertainment, you are representing a professional entertainment brand. The following guidelines ensure smooth events, high standards, and mutual respect. By accepting a booking, you agree to the following:
1. Preparation & Performance
Musicians are expected to learn and rehearse all required parts in advance of the performance.
Setlists, arrangements, and any rehearsal materials provided must be studied before the gig.
Musicians should arrive ready to perform at a professional standard.
2. Punctuality
Call times will be communicated in advance. Musicians must arrive on time and ready to set up/soundcheck.
Any delays or issues should be communicated immediately to the Band Leader or Luma Entertainment contact.
3. Professional Appearance
Musicians are required to dress in attire appropriate for the event (e.g., smart, stylish, or themed, as directed).
Please arrive looking presentable, with clothing neat and stage-ready.
4. Conduct
Musicians are expected to behave professionally at all times, both on and off stage.
No drug use, excessive drinking, or behaviour that could damage Luma Entertainment’s reputation.
Respect for clients, venue staff, and fellow musicians is essential.
5. Equipment
Musicians are responsible for bringing and maintaining their own instruments and accessories (strings, sticks, leads, etc.), unless otherwise agreed.
All equipment should be performance-ready and in good working condition.
6. The Band Leader
For each event, one musician will be nominated as the Band Leader. Their responsibilities include:
Supplying and operating PA and lighting (unless other arrangements are agreed).
Finalising the set list and sharing it with all musicians no later than two weeks before the event.
Ensuring backing tracks, keys, or any important arrangement notes are circulated in good time.
Acting as the main point of contact for the client/venue on the day of the event.
Coordinating load-in, soundcheck, and set times to keep everything running smoothly.
7. Invoicing & Payment
Musicians must submit an invoice within 7 days of the performance.
Invoices should include:
Date of performance
Venue/location
Act name / event reference
Agreed fee
Full name, address, and bank details (account number & sort code)
Payment will be made according to Luma Entertainment’s standard payment terms (usually within 3 days of receipt of a correct invoice).
8. Substitutes / Deputies
Musicians should not send a substitute (dep) without prior approval from Luma Entertainment.
Approved deps are expected to meet the same professional standards outlined in this document.
9. Confidentiality
Event details, fees, and client information are confidential and should not be shared without permission.
10. Cancellation
If a musician is unable to fulfil a booking, reasonable notice must be given to allow for cover arrangements.
Last-minute cancellations may affect future bookings.
